Who we are

Aline's Gentle Lens is a Mona Vale-based newborn and family photography studio (sole trader, NSW, Australia). In this policy, "we" and "us" means Aline's Gentle Lens.

Information we collect

When you enquire with us through a Meta (Facebook or Instagram) Lead Form, our website contact form, email, or WhatsApp, we collect only what is needed to reply to you and manage your booking:

Your name, email address, and mobile number
Your baby's due date or date of birth
The session type you are interested in
Any notes you choose to include with your enquiry
A record of your payment (amount, date, and last four digits of your card — never the full card number) when you pay a deposit or balance

We also use standard website analytics to understand how visitors use our site. This data is fully anonymous and not linked to any individual.

How we use your information

We use your information only to:

Respond to your enquiry, usually within 24 hours
Confirm and manage your booking
Process payments and meet our tax record obligations
Send you session reminders and preparation notes

We will only send marketing messages if you have opted in. You can unsubscribe at any time by replying to any message or emailing info@alinesgentlelens.com.au.

Who we share your information with

To operate the studio, we use the following third-party services. Each operates under its own privacy policy and is bound by applicable data protection laws.

Meta (Facebook, Instagram) — when you submit a Lead Form ad, your details pass through Meta's platform to reach us
HubSpot — our CRM system, where enquiry and booking records are stored
Stripe, Afterpay, Zip — online payment processors
Square or Tyro — in-studio EFTPOS payments
Google Workspace — email and document storage
Google Analytics — anonymous website usage data
Our accountant — limited financial records for end-of-year tax purposes

We do not sell your information. We do not share it with anyone outside the list above.

How long we keep your information

Booking and contact records: for the duration of our working relationship, plus 7 years (Australian Tax Office requirement)
Payment records: 7 years (ATO requirement)
Marketing data: until you unsubscribe or ask us to remove you

Cookies and analytics

Our website uses cookies to function properly and to provide anonymous information about how visitors use the site. You can disable cookies at any time through your browser settings. This will not affect your ability to contact us.

How we keep your information safe

HTTPS encryption on the website
Two-factor authentication on all email and cloud storage accounts
Payments processed exclusively by PCI-DSS compliant providers (we never see or store your full card number)
Access to personal data is limited to Aline and, where strictly necessary, our accountant

If a data breach occurs that is likely to cause harm to you, we will notify you and the OAIC as required under the Notifiable Data Breaches scheme.
